Summary: 


Under the supervision of the Director, Mentor Administration, the Assistant Director of Health Professions, Mentor Coordination is responsible for the planning, development, implementation, and operations of all mentor and grade administration processes for the School of Nursing.


The Assistant Director of Health Professions, Mentor Coordination will coordinate all administrative tasks associated with the contracting and scheduling of courses for graduate and undergraduate mentors, the quality control aspects of the graduate and undergraduate course programs, and processing of new mentor documentation


The primary responsibility is to be learner oriented, including providing leadership in support of initiatives to enhance record integrity and promotion of high-quality constituent service in a technological environment. This position entails frequent exercise of independent judgment; the knowledge of educational legislation, including FERPA, the ability to apply it in relation to appropriate functions in coordination with other offices; the ability to prioritize, the ability to identify problems, implement solutions and resolve issues with program directors, mentors, and learners.

 

Key Responsibilities: 

 

Mentor Management and Support:

- Oversee onboarding and provide ongoing administrative support for course mentors. This includes the processing of new mentor documentation through the OnBase workflow.

- Oversees delivery of administrative and course-related mentor information including course revisions.

- Review courses on a daily basis to ensure mentors are meeting University standards.

- Relay mentor feedback to program directors and help initiate revisions.

- Provide support on course technologies, assessments, and mentor requests.

- Serve as the primary point of contact for mentor inquiries.


Course Assignments 

- Ensure program directors provide course mentor assignments in a timely manner so mentors can be entered into Colleague prior to course start dates.

- Resolves course allocation problems caused by changes in mentors' contract status or contractual responsibilities.

- Provide feedback regarding mentor performance and assignment suitability to support future mentor selection decisions.

- Communicates changes, corrections, and new information regarding graduate and u undergraduate mentors to staff and learners as needed.

 

Operational Support

- Provides information as needed to mentors to effectively perform their contractual obligations.

- Assists mentors with course-related concerns; mediates a resolution; provides regular and systematic feedback on identified problem areas.

- Provides Tier 1 support to address mentor issues and student/mentor concerns.

- Maintains a professional employer-contractor relationship with all mentors.

- Prepares and/or directs the preparation of reports and studies containing findings and recommendations for the review, information, and assistance of supervisors, with special attention to course evaluations each term.

- Compiles and summarizes statistical and other data for reports to the School of Nursing and/or other agencies.

- Monitors the school’s budget in relation to mentor compensation on a quarterly basis and reports findings to the Director.

- Directs the establishment and the maintenance of essential records and files in accreditation ready formats.

 

Other Responsibilities 

- Serves on ad hoc and standing committees as required.

- Other responsibilities as assigned.

Requirements: 


Education: Graduation from an accredited college with a Bachelor's degree supplemented by a Master's degree in a field related to the position to be filled or equivalency as determined by the appointing authority.


Experience: Two years professional experience in a field that is directly related to the functions of the position to be filled or equivalency as determined by the appointing authority


- Applicants who do not possess the required education may substitute required experience on a year-for-year basis (30 credit hours are considered one year of college).

- A Doctor of Philosophy degree or a Doctor of Education degree may be substituted for two years of the required experience.
