Job Summary

The Customer Service & Sales Support Associate is responsible for full account ownership, serving as the primary point of contact for customers from initial inquiry through final delivery. This role ensures maximum customer satisfaction by managing communications, contract oversight, order entry, and logistics coordination. Additionally, this position provides critical administrative support to the Director of Sales for strategic initiatives, including customer visits and annual volume reviews.


Essential Functions & Responsibilities

  • Account Management & Communication: Act as the dedicated owner for assigned accounts, responding to all inquiries via email and phone in a professional, timely manner. 
  • Order Entry & Data Integrity: Accurately enter customer orders, transaction details, and contact information into the ERP system. 
  • Logistics & Fulfillment Coordination: Schedule truck shipments, coordinate with the warehouse team for order picking, and verify that all shipping details match the sales order before finalizing. 
  • Documentation & Labeling: Generate and verify pallet tags, bills of lading, and packing slips. Ensure Certificates of Analysis (COA) are sent to customers with correct lot information. 
  • Sales Support: Assist the Director of Sales with preparing for customer visits, conducting annual volume reviews, and executing other sales-related initiatives. 
  • Inventory & Production Liaison: Coordinate with production to identify manufacturing needs and track inventory levels to determine product availability. 
  • Problem Resolution: Proactively identify and resolve customer complaints or logistics issues, troubleshooting through internal resources before escalation. 


Requirements

Qualifications & Skills

  • 3-5 years of previous Customer Service or Office experience, preferably within a manufacturing facility. 
  • Strong interpersonal skills with the ability to follow complex written and verbal instructions
  • Proficiency in both English and Spanish is required. 
  • Strong computer and typing skills; experience with ERP software and inventory management systems is a plus. 
  • Ability to work effectively in a fast-paced environment with no sensitivity to food products or strong spice aromas. 
  • Must be highly detail-oriented to ensure accuracy in contracts, labeling, and lot number tracking. 

Education & Experience

  • Education: High School Diploma or equivalent.
  • Language: Must speak English fluently; Bilingual (English/Spanish) is strongly preferred.

Mandatory Safety & Food Safety Equipment (PPE)

None while in the office; only when going into warehouse (on occasion) and PPE will be provided.


Important Details:

  • The anticipated compensation for this position ranges from $20 to $24/hr. This is the lowest to highest salary that we in good faith believe we would pay for this role at the time of this posting. An employee’s position within the salary range will be based on several factors including, but not limited to, specific competencies, relevant education, qualifications, certifications, experience, skills, performance, and shift. The successful candidate may be eligible for annual discretionary bonus.
